What we collect, why, and the choices you have.

This policy explains how Hayes Carp Fisheries Ltd (“we”, “us”) uses the personal information you give us through this website and our members' app. We keep it short and plain. If anything isn't clear, please get in touch or email [email protected].

What we collect

  • Membership and applications — your name, contact details, the ticket you hold or apply for, your membership photo, vehicle registrations and a record of payments you've told us about. We don't take or store card details.
  • Your account — your email address is your login. We email you a one-time code or link to sign in; there is no password.
  • Catch reports — see Catch reports below.
  • Check-ins and your fishing log — when you check in at a water and anything you choose to note about a session.
  • Messages — enquiries, problem reports and anything else you send us through the site or app.
  • Notifications — the tickets and waters you've asked to hear about, and, if you use the app, the details needed to send notifications to your phone.
  • How the site is used — basic, aggregated visitor statistics, and technical information needed to keep the site secure and working.

Catch reports

When you submit a catch report we receive the details you enter in the form — your name and email, the water, the date, the fish and anything you write about the capture — together with the photos you upload.

Photos usually carry information recorded by the camera or phone that took them, known as metadata. This can include the date and time the photo was taken and the location it was taken at.

We may use the details you supply in the form, and the metadata in your photos, to help us monitor and maintain the fishery — for example to keep our stock records, to follow how individual fish and each water are doing over time, and to understand the conditions in which our waters fish. By submitting a catch report you agree to this.

  • Photo metadata is used by us for these purposes only. We don't publish the location or time recorded in your photos, and we don't share them with other members.
  • You choose on the form whether your capture is shared publicly on the website and our social media, or kept private for our records. Either way it is logged for the fishery's stock records.
  • A report you've agreed to share shows the photos and the details of the capture, including your name as the angler.
  • If you'd rather a photo didn't carry its location, most phones let you remove it before you share a photo.

How we use your information

  • To run your membership: applications, renewals, payments, your membership card and access to the waters.
  • To keep the fishery safe, secure and well managed, and to look after the fish and the waters.
  • To contact you about your membership and about the fishery — including anything important or urgent, such as a lake closure.
  • To send the emails and notifications you've asked for, such as ticket releases and catch reports.
  • To run members' competitions and publish catch reports you've agreed to share.

Emails and your choices

You can choose which emails you get from us, or stop them, at any time on the email settings page (there's a link at the bottom of our emails). If you have an active membership we'll still need to contact you about anything important or urgent to do with your membership or the fishery.

Who we share it with

We don't sell your information. We share it only with the companies that provide the services this website runs on — such as hosting, sending email and phone notifications, and keeping the site secure — who act on our instructions, and where the law requires us to. Staff and bailiffs see the information they need to run the fishery.

How long we keep it

We keep your information for as long as you're a member or have dealings with us, and afterwards for as long as we need it for our records or are required to by law. Catch records form part of the fishery's long-term stock history.

Your rights

You can ask us for a copy of the information we hold about you, to correct it, or to delete it, and you can object to how we use it. To do any of these, contact us. If you're unhappy with how we've handled your information you can also complain to the Information Commissioner's Office (ico.org.uk).
